Privacy Policy
Last updated July 2026
This policy explains what personal information Ontario Grading AI handles and how. For student work processed on behalf of a school, the school is the controller and this is supplemented by our Data Processing Addendum.
Working template. This document is a starting point for Ontario Grading AI and is not yet legal advice. Have it reviewed by counsel before public launch.
1. Information we collect
- Account & school details — name, email, school/organisation name and chosen subdomain.
- Uploaded content — student submissions, marking schemes and assignment material you provide for grading.
- Billing information — handled by our payments provider. We receive subscription status and invoices, not full card numbers.
- Usage data — basic logs and metering (e.g. credits consumed) needed to run and secure the Service.
2. How we use it
- To provide grading, review and export features.
- To send uploaded work to our AI provider to generate marks and feedback.
- To manage your subscription, meter credits and prevent abuse.
- To communicate with you about your account and the Service.
3. AI processing
To grade work, submissions and marking schemes are sent to our AI subprocessor (a leading North-American AI provider) to generate marks and comments that are returned to your environment. This content is processed to provide the Service to you and is not used by us to train models.
4. Where your data lives
Application data is hosted in Canada (the ca-central-1 region). Some subprocessors (for example, payment processing) may operate in other jurisdictions under appropriate safeguards.
5. Sharing
We do not sell personal information. We share it only with subprocessors that help us run the Service — hosting, payments and AI grading — and where required by law. Each school’s data is isolated from every other school.
6. Retention
We keep your data for as long as your account is active and as needed to provide the Service. On termination, data is deleted or returned as described in the Data Processing Addendum.
7. Your rights
Subject to applicable Canadian privacy law (including PIPEDA), you may request access to, correction of, or deletion of personal information we hold about you. For student information processed on behalf of a school, please direct requests through that school.
8. Children’s information
The Service is used by schools and educators, not directly by students. Student work is processed on the school’s instructions; the school remains responsible for parental notice and consent as required.
